How far in advance should I book your services?

For optimal planning and venue availability, we recommend booking our services at least 3-6 months in advance for larger events (100+ attendees) and 2-3 months for smaller gatherings. However, we understand that some events require quicker turnarounds, and we do our best to accommodate urgent requests when possible.

What geographical areas do you serve?

We primarily serve clients throughout Ireland, with a focus on Dublin, Wicklow, and the surrounding counties. For virtual events, we work with clients globally. We're also open to traveling for special events throughout Europe, though additional travel fees may apply.

Do you handle both small and large events?

Yes! We design and execute events of all sizes, from intimate gatherings of 20 people to large conferences with 1,000+ attendees. Our scalable approach ensures that each event receives the appropriate level of planning and attention, regardless of its size.

What services are included in your event packages?

Our standard event packages typically include venue selection, event design and styling, vendor coordination, timeline development, budget management, and on-site coordination. Additional services like entertainment booking, technical production, virtual event platforms, and post-event analytics can be added based on your specific needs.

How much do your services cost?

Our pricing varies based on the scope, complexity, and duration of your event. Corporate event management packages start at €5,500, social gathering packages at €3,800, and virtual event packages at €2,900. We provide detailed, transparent quotes following an initial consultation where we assess your specific requirements.

Do you offer partial planning services?

Yes, we offer modular services for clients who only need assistance with specific aspects of their event. Whether you need help with venue selection, day-of coordination, technical production, or virtual event hosting, we can customize our services to fit your needs and budget.

Do you require a deposit?

Yes, we require a 50% deposit to secure your event date and begin the planning process. The remaining balance is typically due 14 days before the event date. For larger events, we can also arrange a payment schedule with installments throughout the planning process.

What is your event planning process?

Our planning process begins with a detailed consultation to understand your vision, objectives, and requirements. We then develop a comprehensive event strategy, including venue selection, vendor coordination, and detailed timelines. Throughout the planning phase, we maintain regular communication and provide updates on progress. Finally, we handle on-site execution and post-event evaluation to ensure success and gather insights for future events.

How involved will I need to be in the planning process?

Your level of involvement is entirely up to you. Some clients prefer to be hands-on and involved in every decision, while others prefer to provide initial input and then leave the details to us. We adapt our communication and approval processes to match your preferences and availability.

Do you have preferred vendors?

Yes, we maintain relationships with a curated network of trusted vendors across various categories including venues, caterers, photographers, entertainment, and technical production. While we're happy to recommend vendors who align with your vision and budget, we're also open to working with vendors you've already selected or wish to engage.

What happens if I need to cancel or reschedule my event?

Our cancellation policy requires written notice. Cancellations made 90+ days before the event date receive a 50% deposit refund. For cancellations within 90 days, the deposit is non-refundable due to committed resources. For rescheduling, we make every effort to accommodate new dates, applying your deposit to the rescheduled event when possible. Please note that date changes may incur additional fees depending on the timing and circumstances.

What platforms do you use for virtual events?

We're experienced with a variety of virtual event platforms including Zoom, Microsoft Teams, Hopin, Airmeet, and Remo. We select the platform based on your specific needs, audience size, interactive features required, and integration capabilities. We can also work with proprietary platforms if your organization has existing licenses or preferences.

How do you ensure engagement in virtual events?

We enhance virtual event engagement through interactive elements like live polls, Q&A sessions, breakout rooms, networking lounges, and gamification. We also incorporate professional production values, concise content delivery, and strategically scheduled breaks. Our technical team manages the behind-the-scenes operations to ensure presenters can focus on content delivery without technical distractions.

Can you provide technical support for virtual attendees?

Yes, we provide dedicated technical support for both presenters and attendees during virtual events. This includes pre-event equipment checks and platform tutorials for presenters, as well as a help desk or support chat during the event for attendees experiencing technical difficulties. We also create comprehensive attendee guides to minimize potential issues.
